Clarion Education ("we", "our", or "us") operates a cloud-based CRM platform for educational consultancies. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our services or when leads are added to our platform by a client organisation.

1. Information We Collect

We collect information in the following ways:

• Account information — name, email address, and role of users who sign in to the Clarion CRM platform.
• Lead / student data — contact details (name, phone, email), academic interests, test scores, notes, and communication history entered by client organisations into the CRM.
• Facebook / Meta Ads data — when a client connects their Meta Ads account, we access Lead Ads form submissions and Page information via the Meta Marketing API solely to import leads into the CRM on the client's behalf.
• Usage data — log files, browser type, pages visited, and session duration for platform improvement purposes.

2. How We Use Information

• To provide and operate the CRM platform for client organisations.
• To import and display lead data from connected advertising platforms (Facebook / Meta Ads).
• To send transactional communications (e.g., follow-up reminders, system notifications).
• To improve platform performance, fix bugs, and develop new features.
• To comply with applicable legal obligations.

3. Facebook / Meta Platform Data

When you connect a Facebook Page or Meta Ads account through our platform, we access the following permissions on your behalf:

• leads_retrieval — to read Lead Ads form submissions from your Pages.
• pages_read_engagement — to list and identify your connected Pages.
• ads_management — to retrieve campaign and ad-set data for attribution.

Data obtained via Meta APIs is used exclusively to populate your organisation's leads within the CRM. We do not sell, share, or use this data for advertising or any purpose beyond operating the CRM on your behalf. We comply with Meta's Platform Terms and Developer Policies.

4. Data Sharing and Disclosure

We do not sell personal data. We may share data only in the following circumstances:

• Service providers — with trusted vendors (e.g., Google Firebase for hosting and database, SendGrid for email) who process data on our behalf under appropriate data-processing agreements.
• Client organisations — data entered by a client is accessible to authorised users within that organisation only.
• Legal requirements — when required by law, court order, or governmental authority.

5. Data Retention

Lead and student data is retained for as long as the client account is active. Upon account termination, data is deleted within 90 days unless a longer retention period is required by law. Users may request earlier deletion by contacting us.

6. Security

We implement industry-standard safeguards including encryption in transit (TLS), encryption at rest, role-based access controls, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict processing of your personal data. To exercise any of these rights, contact us at the address below. We will respond within 30 days.

8. Cookies

Our platform uses strictly necessary session cookies to keep you signed in. We do not use third-party tracking or advertising cookies.

9. Children's Privacy

Our platform is intended for use by businesses and their adult employees. We do not knowingly collect personal data from individuals under 13 years of age.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to account holders or via an in-app notice at least 14 days before they take effect.
